We are looking for a new admin & reception team member!

We bring remarkable healthcare and community to those living with invisible illnesses through leading multidisciplinary and person-centered care. Our team works collaboratively to treat and support the whole person, validating their experience, believing in their potential, and respecting their individuality. Tailored pathways guide each person with continuous support and accessibility to empower them to take ownership of their health.

At Active Health Clinic, our admin and reception team are not just the first faces people see, they are the heart of the client experience. This role is so much more than answering phones and booking appointments (though yes, you'll do that too). You are the welcome, the calm, the clarity, and the friendly face that helps people feel comfortable when they come through the door. Your ability to make them feel seen, understood and respected from that very first interaction is everything.

 

This is a people-first, purpose-led role in a clinic that genuinely values team, integrity and community. You’ll be supporting not just clients, but practitioners and your admin teammates too, we work collaboratively, communicate openly, and we’re not afraid to laugh (or cry) together when it’s been one of those weeks.

 

Training and support

Once you're on board, we'll support you through a structured onboarding process tailored to your experience level. This includes introduction to our systems through a combination of video modules, shadowing and guided practice.

At Active Health Clinic, we empower people living with invisible illnesses to take proactive steps toward better health, no matter where they’re starting from.

 

We work across four locations (Blackburn, Frankston, Essendon & Bendigo) and support a national and international client base via telehealth. Our team includes Exercise Physiologists, Occupational Therapists and Dietitian's who specialise in working with complex conditions. We focus on high-quality care, strong communication, and real human connection.

 

We also believe you should genuinely enjoy coming to work. We foster a collaborative, supportive culture with regular social events, debriefs, and ongoing professional development. Many of us bring lived experience into our roles, which helps us connect with our clients and each other.

About You

Be professional and keen to work hard, but don’t take yourself too seriously and like to have fun  

Provide exceptional care to our clients, whether it’s on the phone, through emails or in person

Be a team player that likes working within a close-knit family environment

Have excellent time and task management skills with a wide array of tasks incoming

Be efficient with technology  

Have an eye for detail

What you will be doing

You’ll be responsible for keeping our days running smoothly by completely things such as:

Creating a calming, welcoming space in the clinic

Managing appointment schedules and processing referrals

Taking payments & managing third party invoicing

Speaking with new clients to help them understand how we can support them

Location: Blackburn - This is our main location and the clinic that our admin team work from.

 

Hours: Up to 38hrs - whether you're interested in part time or full time, we'd love to hear from you!

 

Start date: As soon as we find the right fit for the role.
